What is a Space and how to use Spaces for managing content

What is a workspace? How to use Spaces? Where does my content reside? How to use spaces? How many spaces can I have? Can I rename a Space?

A Space is your secure working environment inside the Elements application. All content (diagrams, change records, Salesforce org models, etc.) reside within a Space.

You can be a member of multiple Spaces, although this mostly applies to consultants working with multiple clients. Most organizations only ever need one Space to use for their ongoing change management.

Prerequisites

Space Settings

If you wish to change user permissions on a space (i.e. change who can edit which type of content), set up and manage your integrations with external systems (like JIRA), configure custom fields , or change any other space-wide settings then you need to access the space settings.

  1. Make sure you are in the main Elements application. It is the one with the menu on the left hand side that allows you to navigate to different features. You will also notice the name of your Space at the top.

  2. Click on the gear icon in the top right part of the toolbar. Then select 'Space settings' from the dropdown.

  3. Alternatively, you can also click on the name of the Space.

Either option will open Space management application where you can control your users and Space-wide settings.

Types of Spaces

In Elements, there are three types of Spaces:

  • "Free" : A free Space is a work environment that supports business process diagramming and nothing else. No other feature is available in a free Space. However, it can be shared with other users.

  • "Paid" : Most clients, when they purchase licenses from us, will have a single Space provisioned with access to purchased capability for selected number of users.

  • "Consulting" : Consultants on a multi-space license can create multiple Spaces, each one for a different client, with most capability enabled by default. There are however limitations on number of 'editors' in the Space and more advanced features, like Event Logs sync or Salesforce Industry sync, are not available by default.
