Share and manage access to the Metadata Dictionary

Share your Salesforce Metadata Dictionary or Reference Model with colleagues so they can view, explore, and collaborate on metadata insights. Elements now provides a streamlined sharing experience that lets you invite users directly from inside the Org model, including users who are not yet members of your Space.

Prerequisites

  • You need Owner or Manager rights on the metadata dictionary to invite other users

  • Users with Editor or Viewer rights on the metadata dictionary cannot invite others

  • To invite users who are not yet Space members, you need to be a Space Admin

  • To invite Space viewers as editors to the metadata dictionary, you also need to be a Space Admin

Grant access to the Metadata Dictionary

You can share access to a Metadata Dictionary directly from the screen you are working in. Click the "Share" button in the Org model interface, or navigate to Permissions and click the "View access" button.

In the share modal, enter the email addresses of users you want to invite, and select the role to assign. You can add up to 10 email addresses at once. Optionally, add a message to be included in the invitation notification.

There are two main roles in the metadata dictionary:

  • Editor: can run reports, review dependency grids, create custom views, search for metadata references, and document metadata, but can’t manage access.

  • Manager: has all editor permissions and can manage access to the metadata dictionary.

Note: everyone in the space can view the metadata dictionary, attached documentation, and Analytics 360.

Click "Grant access" to send the invitation.

The invited user is not a space member

If you are a Space Admin, and the invited user is not yet a member of your Space (or is currently a Space Viewer), the system will redirect you to a second step where you can also invite them to the Space as editors or admins.

If you are not a Space Admin, you will see an error message indicating that you lack the permissions to add non-space members. In this case, ask a Space Admin to either invite them or grant you the admin permission.

Manage existing permissions

To see who currently has access to the Metadata Dictionary and what role they hold, open the share modal or navigate to the Permissions tab in the right side panel. From here, you can:

  • Change a user's role (for example, from Editor to Manager)

  • Remove a user's access to the Metadata Dictionary

User notification when they are invited

When you grant access to a user, they receive both an email notification and an in-app notification. The notification contains a direct link to the specific metadata dictionary you shared access to, so your colleagues can immediately see the relevant content.
