Partner Handover Playbook: Transitioning Your Client to Their Own Elements.cloud License

Purpose of this playbook

This playbook gives you a clear, repeatable process for guiding clients from a project-based Elements setup to full ownership of their own license.

It ensures your client’s Spaces remain intact, the handover is seamless, and they stay live on Elements after the project concludes - without downtime, data loss, or confusion about billing.

Why it matters

  • Protects client continuity - no risk of losing access when consulting coverage ends.

  • Strengthens trust and professionalism - shows you’ve planned for long-term value.

  • Simplifies your own off-boarding - reduces follow-up admin and billing queries.

  • Reinforces the client’s independence while keeping a path open for ongoing managed services.

1. Confirm the client is ready

Before initiating transfer, check:

  • Client has an Elements.cloud account under their corporate domain.

  • At least one internal admin is nominated to own the Spaces.

  • The client understands that after project closure, they’ll need their own license to maintain access.

Pro tip: Share the customer-facing guide one week before final delivery, so their team knows what to expect.

2. Transfer the Spaces

  1. Open Corporate Management (gear icon → Corporate settings).

  2. Select Spaces in the left menu.

  3. Choose the client Space you’re handing over.

  4. Click Update next to the Domain.

  5. Select the client’s domain and confirm.

  6. Notify the client when complete.

Everything inside the Space, metadata, diagrams, and documentation, transfers intact. The only change is ownership and billing responsibility.

3. Verify access and document the handover

After the transfer:

  • Open the Space as a Viewer or Editor (if the client has kept you on).

  • Confirm their admins can:

    • Access all process maps and metadata.

    • See the Salesforce connection.

    • View or edit users.

  • Add a short note in your project documentation confirming that the client has accepted Space ownership.

4. Guide them through plan selection

Your goal is not to sell - it’s to ensure they understand the model and choose confidently.

Here’s a simple way to frame it:

“Now that you’re taking ownership of your Elements Space, there are three ways you can continue depending on how active your use will be.”

How to transition:

  • Client admin opens their Space → Manage Subscription.

  • They select a plan, enter billing details, and confirm.

  • All content stays live. No reconfiguration needed.

5. Conduct a handover call

Use this checklist during your final session with the client:

  • Client has ownership and admin rights.

  • Permissions verified.

  • Salesforce Org sync confirmed.

  • Billing plan chosen or in progress.

  • Credit alerts configured (if using Credits plan).

  • Support contact shared (support@elements.cloud).

Partner best practices

Do:

  • Reassure clients that the transition is non-disruptive.

  • Keep your own access as a Viewer or Editor (if mutually agreed).

  • Use the same language as the customer guide to maintain consistency.

Don’t:

  • Leave Spaces untransferred - clients will lose access after your consulting credits expire.

  • Treat this as optional; ownership transfer should be part of every project closeout.
